Policy 05:10:00 Employee Paid Time Off

Purpose: To define employee paid time off, jury duty time off, and bereavement time off. 

Policy:

Holidays

Platt College recognizes and is closed on the following holidays.  Faculty and staff are paid for the holidays upon becoming a regular full-time employee.  Part-time employees are not eligible for holiday pay.

  • Memorial Day
  • Independence Day
  • Labor Day
  • Thanksgiving Day
  • Friday after Thanksgiving Day
  • (Christmas Day and New Year’s Day occur during the Winter Break. Other religious affiliation holidays may be negotiated.)

Note: The School of Nursing students continue to have clinical if they are scheduled during these times. 

Paid Time Off (PTO)

Paid Time Off combines vacation, sick time and personal time into a single bank of days for a full-time employee to use to take paid time off from work. A PTO system creates a pool of days that an employee may use at his or her discretion. When an employee needs to take time off from work for any day during the five day work week, the PTO policy enables a certain amount of approved time off to be paid time off.

Paid Time Off (PTO) for Full-Time Faculty Members

Eligible full-time faculty members receive four weeks of break: at the end of the winter quarter (January-March); at the end of the spring quarter (March-June); and at the end of the summer quarter (June-September).  The first three days of Thanksgiving week and the two intersession weeks in December are used as mandatory work time for faculty seminars, annual training, and research and scholarship opportunities.  Eligible full-time faculty members receive two weeks of paid winter break during the last two weeks of December.

Full-time faculty are eligible for paid time off.  PTO for full-time faculty begins at each faculty member's annual evaluation according to their hire date.

The 10 PTO are in addition to the 12th week paid breaks that full-time faculty receive.

Once your available PTO is used for the year, it becomes an unpaid payroll action.  Any unused PTO accrued is paid at the time of termination from employment at Platt College.  If PTO is not used in the one-year eligible period by the employee, the unused PTO is forfeited.

Full-time staff members are eligible for paid time off.  PTO for full-time staff members begins at each staff member's annual evaluation according to their hire date.

Full-Time Faculty and Staff Member Bereavement

Full-time faculty members and full-time staff members will be granted up to 3 days off for a death in the immediate family. If the employee is responsible for funeral arrangements, additional time may be granted at the discretion of the President. 

Jury Duty

The College believes that jury duty is a civic obligation. Therefore, The College allows time off to fulfill this obligation according to the following provisions:

All faculty and staff members should notify the appropriate administrator as far in advance of the court appearance as possible to allow for scheduling requirements.  Faculty and staff also need to complete the PTO Leave Request Form and submit it to correct administrator for filing purposes. Jury duty does not count as vacation or sick leave. 

Faculty and staff members should arrange to be at work during periods when you are excused from jury duty.

Time off for personal court appearances will not be paid unless it is taken from available PTO.

College or Individual in Official Capacity Named

In any case in which Platt College or an individual employee in his or her official capacity is named as a party in a civil proceeding, accepted service must be immediately reported to the college President. In the event that the President is not available, the Vice President of Academic Affairs should be contacted.

Individual Named for Actions Outside Official Responsibility

An individual should accept service if the individual is named in a civil action and money damages sought from the individual for actions taken outside the scope of his or her official responsibility. In cases of this nature, the individual should immediately contact the President.  In the event that the President is not available, the Vice President of Academic Affairs should be contacted. Policy Appendix: Employee Status Change Form

Revised: August 5, 2009, August 6, 2014 to include updates to Employee Handbook, June 7, 2016 to change title of Policy from "Employee Leave" to "Employee Paid Time Off" and to eliminate full-time faculty and full-time staff leave, breaks, and vacation requirements; replaced with paid time off (PTO) information from Employee Handbook.
